Email Health

The Email Health tool analyzes key components required for reliable email delivery. It reviews authentication records, DNS configuration, server reputation, and SMTP connectivity to help identify issues that may affect sending or receiving email.

Accessing Email Health

To view the Email Health report, go to:

Email → Tools → Email Health

Select the domain you wish to analyze. The system will automatically evaluate the domain's email configuration.

Overview

The Overview tab summarizes the most important components of email configuration:

  • MX Records – Determines where incoming email for the domain is delivered.
  • SPF Record – Identifies which servers are authorized to send mail for the domain.
  • DKIM Record – Verifies outgoing messages with a cryptographic signature.
  • DMARC Record – Provides domain-level email authentication policy and reporting.
  • SSL/TLS Enabled – Confirms secure mail and web connections.
  • Spam Filtering – Indicates whether server-side spam filtering is enabled.
  • Email Routing – Shows whether mail is handled locally or by an external provider.

If configuration problems are detected, the system will display warnings explaining what needs attention.

DNS Records

The DNS Records tab displays the domain's active DNS configuration, including:

  • A Records – Maps hostnames to server IP addresses.
  • MX Records – Directs email delivery to mail servers.
  • TXT Records – Stores SPF, DKIM, and DMARC authentication records.
  • NS Records – Identifies the domain's authoritative name servers.
  • CNAME Records – Provides alias mappings between hostnames.

This section is useful for diagnosing missing or misconfigured DNS entries that could affect email delivery.

Reputation

The Reputation tab checks whether the server IP address appears on common email blacklists.

The following services are checked:

  • Spamhaus
  • Spamcop
  • Barracuda

If a server IP is listed on a blacklist, outgoing email may be rejected or flagged as spam by other mail systems.

This section also displays the server IP address and its reverse DNS (PTR) record, which many mail systems require for proper email delivery.

SMTP Connectivity

The SMTP Connectivity tab verifies that essential mail ports are accessible:

  • Port 25 – Standard SMTP delivery port.
  • Port 465 – Secure SMTP over SSL.
  • Port 587 – Authenticated SMTP submission port.

If these ports are blocked or unreachable, sending email from applications or mail clients may fail.

External DNS Note

If a domain is not using Orthodox Web Solutions name servers, DNS records are managed by your external DNS provider. In this case, authentication and routing warnings may require changes to be made outside of the Site Manager.

When to Use Email Health

The Email Health tool is helpful when:

  • Email messages are not being delivered
  • Messages are frequently marked as spam
  • A domain has recently been moved to a new server
  • Email authentication records have been updated

Running the Email Health check provides a quick overview of your domain's email configuration and helps identify potential issues before they affect communication.
