Mailing lists allow your parish or organization to communicate easily with groups of people. They can be used in two primary ways:
-
Discussion Lists - Members can post messages to each other.
-
Announcement / Broadcast Lists - Only the list owner posts, and subscribers receive updates.
Below is a simple guide to help you create and configure your mailing list.
Creating a Mailing List
You can create a new mailing list (for example, list@yourdomain.org) directly in the Site Manager.
-
Log in to the Site Manager
-
Go to Email → Mailing Lists
-
Click Add New Mailing List
Once created, you can:
-
add subscribers manually
-
remove subscribers
-
manage list options
-
view your list’s message archives
Adding a Subscribe Box to Your Website
If you want visitors to subscribe to the list directly from your website:
-
Edit the page where the form should appear
-
Insert a Components – Mailing List section
-
Select your mailing list from the dropdown
This automatically creates a subscription box linked to your list.
Controlling Who Can Post to the List
You may want either a discussion-style list or a broadcast-only list.
To restrict posting so that only the list owner can send messages, adjust two settings.
1. Moderate New Subscribers
This prevents new members from posting messages.
-
Go to Privacy Options → Sender Filters
-
Find: “By default, should new list member postings be moderated?”
-
Set this to Yes
2. Moderate Existing Members
This ensures previously-added subscribers are also prevented from posting.
-
Go to Membership Management
-
Scroll to the bottom
-
Find: “Set everyone’s moderation bit, including those not currently visible”
-
Choose On, then click Set
After this, list members will receive messages but will not be able to send to the list.
Managing Message Archives and Privacy
Mailing lists automatically store past messages in an archive.
You can control whether this archive is public or private.
-
Go to Archiving Options
-
Set “Is archive file source for public or private archival?” to Private
Setting archives to private prevents search engines from indexing your messages.
You can review additional settings under Privacy Options to further control visibility and posting rules.
